Step-by-step

Build the brief

  1. Describe every activity. Include attendance, meetings, talks, workshops, performances, sales, interviews and remote work days.
  2. Map every payment. Record currency, payer, recipient, location of payment, fee, honorarium, royalties, expenses and in-kind benefits.
  3. Name the local host. Add the legal entity, contact person, venue, dates, audience and local purpose.
  4. Ask for the exact pathway. Request the visa or exemption name, work permission, permit, sponsor action and lead time.
  5. Clarify close calls in writing. Keep the question and reply together with the dated official source.
  6. Sequence the commitments. Lock the invitation and route first, then place the larger non-refundable bets.
  7. Carry a clean evidence pack. Invitation, itinerary, payment terms, insurance, accommodation, return travel, funds and permits.
  8. Recheck shortly before travel. Fresh rules can reveal a simpler route or a new program.

  • Are you the legal host or is another entity contracting the activity?
  • Is this an appearance, lecture, training service, performance, exhibition, trade activity or employment under local rules?
  • Will you sponsor or lodge any visa, work permit, event, labour or cultural approval?
  • Have you hosted foreign speakers, teachers, authors or performers under this pathway before?
  • Who pays fees, expenses, tax and social contributions, and in which country?
  • May books, merchandise, tickets or services be sold? Who is the seller of record?
  • Can you provide the classification and permit responsibility in writing?
