Founding meeting agenda
Before the meeting, confirm at least seven possible founding members, prepare the draft objects, read the model rules and collect conflicts of interest.
- Welcome and name why the club is being proposed.
- Confirm the founding member list and not-for-profit intent.
- Resolve whether to incorporate and adopt rules.
- Elect the committee and appoint the lodgement person.
- Confirm the first admin tasks and next meeting date.
Committee role cards
Each important job works better with a lead, a backup, a checklist, a shared folder and a review date.
- Chair or co-chairs hold meeting rhythm and culture.
- Secretary keeps records, agenda, minutes and member notices.
- Treasurer keeps money controls visible and checked.
- Participation, wellbeing and partnerships leads keep the work shared.
Member and volunteer onboarding
Good questions help people find the right contribution without being dictated to.
- What kind of participation feels natural?
- What skills, care roles or local knowledge could you share?
- What would make this club feel safe and worthwhile?
- What boundaries would help the organisers ask respectfully?
Risk and grant evidence
Record small things early: attendance, volunteer hours, incidents, feedback, permission checks, photos with consent and what changed after the debrief.
